Assigning Task Owners

How to assign, reassign, and manage task ownership in Klarvo — ensuring compliance action items have clear accountability and deadlines.

Assigning Task Owners

Tasks are the actionable backbone of compliance. Every gap, every evidence request, every follow-up from classification — these become tasks with owners and deadlines. Without clear ownership, tasks stall.

How Tasks Are Created

Tasks come from multiple sources:

SourceExample Tasks
Wizard completion"Complete classification," "Upload vendor DPA," "Assign oversight owner"
Classification result"Complete deployer obligations checklist" (for high-risk), "Implement transparency disclosure"
Evidence expiration"Renew vendor SOC 2 certification"
FRIA mitigations"Implement quarterly bias testing"
Incidents"Investigate AI output anomaly," "Complete postmortem report"
Manual creationAny compliance action item you create yourself

Assigning Owners

When a task is created (auto or manual), assign an owner:

  • Open the task
  • Click the Assignee field
  • Select a team member from the dropdown
  • Set a due date (auto-generated tasks suggest dates; you can adjust)
  • Optionally set priority (Low / Medium / High / Critical)
  • Auto-Assignment Rules

Klarvo auto-assigns certain tasks based on role:

    Task TypeAuto-Assigned To
Complete classificationPrimary Owner of the AI system
    Upload vendor documentationPrimary Owner
    Create oversight SOPOversight Owner
    Complete AI literacy trainingOversight Owner
    Renew evidenceOriginal uploader

You can always reassign after creation.

    Reassigning Tasks

    To reassign:

  • Open the task
  • Change the Assignee field
  • The new assignee receives a notification
  • The reassignment is logged in the activity feed
  • Overdue Task Handling

    Tasks past their due date:

  • Appear in the Compliance Alerts panel on the dashboard
  • Show a visual "overdue" indicator
  • Can be escalated by Admins/Compliance Owners
  • Best Practices

🎯 One owner per task: Shared ownership = no ownership
📅 Set realistic deadlines: Consider the person's workload and dependencies
🔔 Check weekly: Review your task list at least weekly
📋 Close promptly: Mark tasks complete as soon as they're done — don't let them linger
💬 Add comments: If a task is blocked, add a comment explaining why
