Tracking Completion

How to track, verify, and manage AI literacy training completion across your organization — including completion workflows, reminders, and evidence generation.

Tracking Training Completion

Tracking who has completed what training — and when — is the core evidence for Article 4 AI literacy compliance. Klarvo provides tools to track, remind, and report on training completion across your organization.

Completion Tracking

For each training assignment, Klarvo tracks:

FieldDescription
ParticipantWho is assigned
ProgramWhich training program
Course(s)Individual courses within the program
StatusNot Started / In Progress / Completed / Overdue
Completion DateWhen they finished
Quiz ScoreIf applicable
CertificateUploaded completion evidence
Expiry DateWhen re-certification is needed

Marking Completion

Training can be marked complete in several ways:

Method 1: Self-Reporting

  • The participant navigates to TrainingMy Training
  • Opens the assigned course
  • After completing the training material, clicks Mark Complete
  • Optionally uploads a completion certificate or quiz result
  • Status changes to "Completed"
  • Method 2: Admin/Manager Marking

  • Navigate to TrainingProgram Management
  • Find the participant
  • Click Mark Complete on their behalf
  • Upload evidence of completion
  • Add notes if needed
  • Method 3: Bulk Marking

    After a group training session:

  • Navigate to the program
  • Click Bulk Update
  • Select all participants who attended
  • Mark as complete with the session date
  • Upload attendance records as evidence
  • Reminder System

    Klarvo sends automatic reminders:

Due date reminderOn the due date (if incomplete)
Overdue alert7 days past due date
    Re-certification reminder30 days before expiry

    Completion Evidence

For audit purposes, retain evidence of completion:

  • Completion certificates: From external training platforms
  • Attendance records: For in-person or live training sessions
  • Quiz results: Scores and pass/fail status
  • Self-attestation: Acknowledgement that training was completed
  • Policy acknowledgement: Signed acceptance of AI acceptable use policy
  • Upload these as evidence in the Evidence Vault and link to the LIT (AI Literacy) control family.

    Dashboard Metrics

    Training completion feeds into:

  • Dashboard Training Coverage: Percentage of required training completed
  • Audit Readiness Score: Training is 25% of the composite score
  • Per-System Training Status: Shows whether operators of each AI system are trained
  • Best Practices

Track everything: Even informal training sessions should be documented
📅 Act on reminders: Don't let training go overdue — it's a visible compliance gap
📋 Upload evidence: Completion without evidence is hard to prove in an audit
🔄 Plan re-certification: Set expiry dates when marking completion
📊 Monitor the dashboard: Training gaps are immediately visible in the Training Coverage metric
