Creating Training Programs

A training program in Klarvo defines what training is needed, who needs it, and when it must be completed. Programs are the organisational backbone of your Article 4 AI literacy compliance.

Program Structure

Each training program includes:

Program Namee.g., "AI Basics for All Staff" or "High-Risk System Operator Training"
Target AudienceWhich roles or individuals should complete this program
CoursesOne or more training modules/courses within the program
Completion CriteriaWhat counts as "complete" (all courses finished, quiz passed, etc.)
Refresh CadenceHow often re-certification is required (e.g., annually)
Due DateInitial completion deadline for current participants

Creating a Program

  • Navigate to Training in the sidebar
  • Click Create Program
  • Fill in program details:
  • - Name and description

    - Target audience (role-based selection)

    - Completion deadline

    - Refresh cadence

  • Add courses to the program
  • Adding Courses

    Each course within a program includes:

    Program 1: AI Basics for All Staff

    Target: Everyone in the organisation

    Courses:

  • What is AI? (Understanding AI fundamentals)
  • Our AI Acceptable Use Policy (company policy review)
  • Reporting AI Concerns (how to escalate issues)
  • Refresh: Annual

    Program 2: AI System Operators

    Target: Staff who directly use/operate AI systems

    Courses:

  • System-specific training (one per system)
  • Data handling and privacy
  • Interpreting AI outputs responsibly
  • Refresh: Annual or when system changes

    Program 3: High-Risk Oversight Personnel

    Target: Oversight owners of high-risk AI systems

    Courses:

  • Advanced AI system understanding
  • Monitoring for bias and drift
  • Intervention and suspension procedures
  • Incident response for AI systems
  • EU AI Act deployer obligations
  • Refresh: Annual

    Assigning Participants

    Participants can be assigned:

  • By role: All users with "System Owner" role automatically assigned
  • By AI system: All operators of a specific AI system
  • Individually: Manual assignment of specific people
  • On invitation: New team members automatically assigned based on role
